Member management
Available roles
Each member of a data room is assigned a role:

The Contributor role
The Contributor role is an intermediate level between Viewer and Editor, designed for external contributors who need to upload their own documents without touching the rest:
- They can view and download all files in the data room
- They can create folders and upload files at the root and in the folders they created themselves
- They can rename, move, and update (new version) their own content only
- They cannot delete anything, not even their own files
External members
People who do not belong to your organization can only be invited as Viewer or Contributor. The number of external guests per data room depends on your plan.
Inviting a member
- Open the data room
- Open the Members panel
- Click on Add a user
- Enter the email address and choose the role
- Confirm
The recipient receives an invitation by email. Once accepted, all existing files in the data room are automatically re-encrypted to include the new member's public key — this operation takes place in the browser of the manager who performed the invitation.
The new member can access files uploaded before their invitation: retroactive re-encryption takes care of this. There is nothing to do manually.
The invited person must already have a Retyc account (no subscription required) and have set up their encryption key: without their public key, it is impossible to encrypt files for them.
Removing a member
- Open the Members panel of the data room
- Click on Remove next to the relevant member
- Confirm
Upon removal, all files in the data room are re-encrypted without the removed member's key. This re-encryption takes place in your browser. Once complete, the former member can no longer decrypt any file in the data room — including files they had uploaded.
Do not close the browser during re-encryption. If the operation is interrupted, you will be prompted to resume it on your next visit to the data room.
Changing a member's role
From the Members panel, click on a member's role to change it. A role change does not trigger re-encryption — access rights are updated immediately.
Audit and traceability
Data rooms record every access: who viewed or downloaded what and when. This activity log opens in a side panel of the data room, laid out as a chronological timeline, and can be exported as CSV.
